Privacy Statement

This Privacy Statement explains how Renwick School manages personal information — why we need it, how we use it, and who we share it with. It also explains how you can request or correct your information. Our practices are governed by the Privacy Act 2020.

What information do we collect

We collect personal information about students, parents/guardians, whānau, employees, volunteers, contractors, and visitors. This may include name, contact details, date of birth, academic records, health information, and ethnic origin. For staff and job applicants, it also includes employment history and referee information.

Why do we collect it

We collect personal information to fulfil our primary purpose of providing schooling and educational services. This includes:

  • Communicating with parents/guardians about their child’s schooling
  • Day-to-day administration and student wellbeing
  • Looking after students’ educational, social, and medical well-being and safety
  • Considering job applicants for current and future roles
  • Communicating with our wider school community (including newsletters and publications)
  • Meeting our legal obligations

We do not collect personal information to sell, trade, or rent to third parties.

How we store and protect it

Personal information is stored electronically on secure systems and/or in locked physical files, accessible only to authorised staff. We take reasonable steps to protect information from loss, misuse, or unauthorised access, including staff training on privacy matters. We back up data using a New Zealand-based cloud platform.

We use Google Workspace for Education. Their privacy notice can be found at workspace.google.com/terms/education_privacy.

How long do we keep it

We retain personal information only for as long as necessary. We follow Ministry of Education records retention guidelines, and generally retain student information for no more than 7 years after enrolment ends — though some information (such as name and contact details) may be retained longer for lawful purposes such as alumni networks or school publications.

Our website

When you visit our website we may collect non-personal information such as your IP address, pages visited, and time of visit, for the purposes of site administration and improvement. We use cookies to support the website’s functionality.

Your rights

Under the Privacy Act 2020, you have the right to request a copy of any personal information we hold about you, and to ask for corrections if it is wrong. Parents and guardians may generally request information about their child on behalf of the child.
